The deadline date to apply for a booth will be Friday, January 30, 2015. INTA will review only applications that are paid in full when assigning booth space in February.

As an Exhibitor, you will benefit from a wide range of promotions to maximize your investment. Each 10’ x 10’ exhibit booth space includes the following:

  • 50-word Exhibitor profile and product description in the Final Program distributed to all meeting attendees onsite.
  • One (1) Exhibitor Inclusive registration – includes access to all educational and social functions. (Welcome Reception and Grand Finale)
  • Two (2) Exhibitor Reduced registrations (US $565 per registration) – includes all educational and social functions. (Welcome Reception and Grand Finale)
  • Two (2) Exhibitor Only registrations – access to the Exhibition Hall and Hospitality Area only! Exhibitor Only registrants do not have access to the educational or social functions and do not receive a conference bag. Exhibitor Only registrants can purchase reception tickets to the Welcome Reception and the Grand Finale.
  • Recognition as an exhibitor in the online Annual Meeting preliminary program with a link to your organization’s website.

 

Exhibit Booth Package

This is a pipe and drape show, and booth carpeting is mandatory.

The exhibit booth package does NOT include walls, booth carpet, furniture, tables, chairs, electricity, floral, telephone, Internet, plumbing or specialty lighting. These items are available for rental through Freeman Decorating Company.

Items included in your booth package (per 10’ x 10’):

  • 8’ high blue and white back drape
  • 3’ high blue side divider
  • 7” x 44” one-line identification sign
  • All aisles in the Exhibition Hall will be carpeted in midnight blue. Booth spaces are not carpeted.

Rules & Regulations for Exhibitors

The Exhibitor shall abide by the Rules and Regulations, together with any amendments thereto adopted by Show Management from time to time of which the Exhibitor shall receive notice. Show Management shall have final authority as to the interpretation of the Rules and Regulations.

The exhibiting of services, products or equipment at any INTA event or program does not constitute an endorsement by INTA of such services, products or equipment.

Exhibit Booth Assignment

All exhibit space is assigned through a priority points system by Show Management. Exhibitors do not select their booth space. INTA reserves the right to make the final determination of all space assignments in keeping with the best interests of the Exhibition.


INTA Priority Point System – Guidelines

  • Exhibit management calculates accumulated points for all previous years exhibited. Your organization is awarded one (1) point for every year your organization has exhibited at the Annual Meeting.
  • Consideration will be given to applicants who are INTA members.
  • In case of a tie, the date on which the application was received with full payment will dictate the order of the space assignment selection.
  • If your company elects not to participate in any given year or cancels, ALL priority points are forfeited.
  • Exhibitors that merge or acquire other exhibitor space will assume the higher of the two (or more) exhibitor priority point totals. Points will not be combined.
  • Points will be deducted for infraction of rules and regulations (e.g., not completing set-up on time, dismantling earlier than closing time, etc.).
  • Organizations should be aware that prime space typically is assigned to organizations that have a longer exhibit history.
  • INTA shall have the right to assign space to the Exhibitor and/or rearrange the floor plan, and/or to relocate any exhibit at any time before or during the period of Exhibition.

 

Exhibitor Insurance

Exhibitors need to obtain exhibition insurance through their own insurance company to cover their personnel, exhibit material and equipment for the duration of move-in, show days and move-out, including public liability, property damage, fire and theft, etc.

  • Certificate of Insurance and Liability

Exhibitors are responsible for general liability insurance against injury to persons and property of others in their stand, along with their exhibits and machines to and from the show and during the show.

The Exhibitor acknowledges and agrees that its participation in the Exhibition is solely at the Exhibitor’s own risk. Exhibitors who hire a third-party contractor for the installation of their booth should check to make sure they have insurance coverage before appointing them.

Exhibitors shall obtain general liability, property damage and fire insurance of not less than $1,000,000 combined single limits at the exhibitor’s own cost and expense. International Trademark Association (INTA), Freeman Decorating Services and the San Diego Convention Center must be named as coinsured with limits of liability of at least $1,000,000 combined single limits, including bodily injury, property damage, fire and theft. Proof of such coverage shall be furnished to Paula Lee (plee@inta.org) no later than Monday, April 6, 2015.

General Service Contractor and Exhibitor Kit

Freeman Decorating Company is the official general service contractor for the installation and dismantling of the Exhibition Hall.

The exhibitor kit will be emailed to all  exhibitors in February. Exhibitors can refer to the PDF for pricing but all orders for internet, electrical, catering, furniture rental, carpet rental, audiovisual services, lead retrieval, etc. will have to be placed online. It is the responsibility of the Exhibitor to pay all charges to Freeman for services rendered by Freeman.

Meeting Space at the San Diego Convention Center (SDCC)

Specialized Options for Your Next Big Presentation! 

INTA can provide a variety of meeting spaces that will fit your organization’s needs!

Annual Meeting attendees who would like to rent space in the San Diego Convention Center (SDCC) may choose from three options: the Premium Hospitality Area, Reserved Hospitality Tables and the INTA Session Rooms. The INTA Session Rooms  are private, whereas the other two options are in open areas.  

Option 1

Premium Hospitality Area—a semi-private, open area that overlooks the Exhibition Hall and Hospitality Area. The Premium Hospitality Area is located in an open space in the foyer area of the San Diego Convention Center (SDCC).  Even though this area is open, it will be fairly quiet, as no sessions will take place on this floor. INTA can pipe and drape this semi-private area to allow for even more privacy. This is a great space to hold a meeting or to host a private breakfast, lunch or reception.

Premium Hospitality Area- rental fee of $2500 per day.

Space can be reserved for a full day from Saturday through Wednesday.

Reserved Hospitality Tables—exclusive reserved tables near the Hospitality Area and the Exhibition Hall.

Appearance is everything! This roped-off area is set apart but ideally located near the Annual Meeting’s center of activity. You can reserve your very own Reserved Hospitality Table by the half-day increments  or a full day. Our Reserved Hospitality Tables offer a more professional and exclusive setting for face-to-face communications with your client.

Reserved Hospitality Tables- rental fee of $400 per half-day and $750 per full day.

Space can be reserved for half-day increments or full day from Saturday through Wednesday.

INTA Session Rooms—session rooms in the San Diego Convention Center pre-set for up to 800 people.

INTA has a variety of session rooms for rent for your clients’ next seminar or training course at the Annual Meeting in San Diego! These built-in session rooms will be equipped with standard audiovisual equipment, head table, theater seating, etc., and will provide a great learning environment for your clients!

INTA Session Rooms- rental fee of $1,000 per 2-hour intervals.

INTA Session Rooms are available at limited times from Saturday through Wednesday.
