How do I exhibit at the Annual Meeting?


You can apply for a booth starting on Wednesday, December 2, 2015. INTA will review only the applications that are paid in full when assigning booth space in February. You may apply for a booth after February but your exhibitor description will not be printed in the printed Final Program.

As an Exhibitor, you will benefit from a wide range of promotions to maximize your investment. Each 10’ x 10’ exhibit booth space includes the following:
  • 50-word Exhibitor profile and product description in the Final Program distributed to all meeting attendees onsite.
  • One (1) Exhibitor Inclusive registration – includes access to all educational and social functions. (Welcome Reception and Grand Finale)
  • Two (2) Exhibitor Only registrations – access to the Exhibition Hall and Hospitality Area only! Exhibitor Only registrants do not have access to the educational or social functions and do not receive a conference bag. Exhibitor Only registrants can purchase reception tickets to the Welcome Reception and the Grand Finale.
  • Recognition as an exhibitor in the online Annual Meeting preliminary program with a link to your organization’s website.

Exhibit Booth Package

This is a pipe and drape show, and booth carpeting is mandatory.

The exhibit booth package does NOT include walls, booth carpet, furniture, tables, chairs, floral, telephone, Internet, or specialty lighting. These items are available for rental through Freeman Decorating Company.

  • 8’ high red and white back drape
  • 3’ high white side divider
  • 7” x 44” one-line identification sign
  • All aisles in the Exhibition Hall will be carpeted in tuxedo red. Booth spaces are not carpeted.

Rules & Regulations for Exhibitors

The Exhibitor shall abide by the Rules and Regulations, together with any amendments thereto adopted by Show Management from time to time of which the Exhibitor shall receive notice. Show Management shall have final authority as to the interpretation of the Rules and Regulations. Please note, that no children are allowed in the Exhibition Hall.

Exhibit Booth Assignment


All exhibit space is assigned through a priority points system by Show Management. Exhibitors do not select their booth space. INTA reserves the right to make the final determination of all space assignments in keeping with the best interests of the Exhibition.


INTA Priority Point System – Guidelines

  • Exhibit management calculates accumulated points for all previous years exhibited. Your organization is awarded one (1) point for every year your organization has exhibited at the Annual Meeting.
  • Consideration will be given to applicants who are INTA members.
  • In case of a tie, the date on which the application was received with full payment will dictate the order of the space assignment selection.
  • If your company elects not to participate in any given year or cancels, ALL priority points are forfeited.
  • Exhibitors that merge or acquire other exhibitor space will assume the higher of the two (or more) exhibitor priority point totals. Points will not be combined.
  • Points will be deducted for infraction of rules and regulations (e.g., not completing set-up on time, dismantling earlier than closing time, etc.).
  • Organizations should be aware that prime space typically is assigned to organizations that have a longer exhibit history.
  • INTA shall have the right to assign space to the Exhibitor and/or rearrange the floor plan, and/or to relocate any exhibit at any time before or during the period of Exhibition.



Exhibitor Insurance

Exhibitors need to obtain exhibition insurance through their own insurance company to cover their personnel, exhibit material and equipment for the duration of move-in, show days and move-out, including public liability, property damage, fire and theft, etc.

  • Certificate of Insurance and Liability

Exhibitors are responsible for general liability insurance against injury to persons and property of others in their stand, along with their exhibits and machines to and from the show and during the show.

The Exhibitor acknowledges and agrees that its participation in the Exhibition is solely at the Exhibitor’s own risk. Exhibitors who hire a third-party contractor for the installation of their booth should check to make sure they have insurance coverage before appointing them.

Exhibitors shall obtain general liability, property damage and fire insurance of not less than $1,000,000 combined single limits at the exhibitor’s own cost and expense. International Trademark Association (INTA), Freeman Decorating Services and Orange County Convention Center (OCCC) must be named as coinsured with limits of liability of at least $1,000,000 combined single limits, including bodily injury, property damage, fire and theft. Proof of such coverage shall be furnished to Paula Lee (plee@inta.org) no later than Monday, April 5, 2016.



General Service Contractor and Exhibitor Kit

Freeman Decorating Company is the official general service contractor for the installation and dismantling of the Exhibition Hall.

The exhibitor kit will be emailed to all exhibitors in February. Exhibitors can refer to the PDF for pricing but all orders for internet, catering, furniture rental, carpet rental, audiovisual services, lead retrieval, etc….will have to be placed online. It is the responsibility of the Exhibitor to pay all charges to Freeman for services rendered by Freeman.

INTA Official Housing Provider

International Trademark Association carefully chose onPeak as the official, exclusive housing coordinator for the Annual Meeting in 2016.

We understand that there are other companies claiming to have some relationship with the Annual Meeting and are offering discounted hotel rates, please do not transact with these companies.

The other companies may not have blocks of room, but merely resell rooms they have secured from another source; rooms must be fully prepaid, are non-refundable and may be subject to steep change fees; and, room types may not be guaranteed.

Reserving a Hotel Room

To check availability at individual properties, reserve a hotel room and obtain the discounted rate, you must first register for the Annual Meeting. Hotel reservations must be made through the INTA housing bureau starting January 20, 2016 and must be booked by Friday, May 20, 2016, or until INTA’s block of rooms is sold out.

2016 Annual Meeting Plan Your Own Event

During the 2016 Annual Meeting, INTA will offer several easy ways to conduct business in the Orange County Convention Center (OCCC). There are options for meetings of all sizes and for various budgets.
