What is the deadline to apply for an exhibit booth at the Annual Meeting?

Booth space is based on availability.  Applications for a booth should be in by Monday, January 30, 2017. Booth placements will be assigned to all organizations that have paid in full for their booth space. After January 30, 2017, organizations can still apply for a booth, but placement will be based on what is available.

In the Exhibition Hall-8.1 you will find the Committee Meetings, Exhibition, Internet Stations, General Hospitality, Premium Hospitality, Reserved Hospitality, Restaurants and Speed Networking.


Benefits of Exhibiting

As an Exhibitor, you will benefit from a wide range of promotions to maximize your investment. Each 3m x 3m exhibit booth space includes the following:
  • A 50-word Exhibitor profile and product description on the Annual Meeting mobile app and the INTA Website. (there will be no printed Final Program)
  • One (1) Exhibitor-Inclusive Registration, which includes access to all educational and social functions (including the Welcome Reception and Grand Finale).
  • Two (2) Exhibitor-Only Registrations, which include access to the Exhibition Hall and Hospitality Area only!                                                                                             
  • Exhibitor-Only Registrations do not have access to the educational or social functions and do not receive a conference bag. Exhibitor-Only Registrants can purchase tickets to the Welcome Reception ($125) and the Grand Finale ($200).

Exhibitor Booth Package

This is a hard wall show. Platforms and carpets are the only authorized floorings for your booth.
The Exhibit Booth Package does NOT include walls, pipe and drape, booth carpet, furniture, tables, chairs, electricity, floral arrangements, telephone, Internet, plumbing, or specialty lighting. These items are available for rent through Freeman Decorating Company.

Booth Equipment

Each booth will be set with hard wall back and side rails at the expense of the exhibiting company.

Booth Carpet

The Exhibition Hall is not carpeted; however all booths are required to have carpet or management approved flooring.

Additional Registrations

There is no longer an option to purchase Exhibitor Reduced Registrations. If you require additional registrations for your organization, please register them online at the full registration fee.


How do I register my booth personnel?

You can register your booth personnel through the link in the email with the subject line “Register Your Booth Personnel for INTA's 139th Annual Meeting”. The link to register your booth personnel will be sent to all paid Exhibitors on January 18, 2017.


How do I reserve a hotel room/additional events?

You must register your booth personnel before they can reserve a hotel room or add any events to their registration. 


Visa and Passport

All individuals require a valid passport to enter Barcelona, Spain.  To determine if you require a visa to enter Barcelona and all the documentation you need, please visit the Spanish Visa Information website.

Most visa applicants will require a letter or confirmation of their visit to Spain. Please note that due to legal requirements, you must book your hotel within the INTA block to secure a visa letter from b-network.

You may request a visa letter once you have registered for the Annual Meeting and booked a hotel room within the INTA hotel block. Visa letters will be sent via e-mail as a PDF at no cost. Should you require an original visa letter, it will be shipped to you via DHL and you will be charged only for shipping.

It is important that you start your application process as soon as possible after registering for the Annual Meeting, to ensure that you receive your visa in time for INTA’s Annual Meeting, May 20-24, 2017.

Exhibitor Agreement & Rules and Regulations

Exhibitor shall at all times during the Event observe and comply with INTA’s Exhibition Rules and Regulations (the “Exhibition Rules”), as may be updated from time to time. INTA shall have sole authority to interpret and enforce the Exhibition Rules and to make any amendments thereto as shall be necessary, in the sole judgment of INTA, for the orderly conduct of the Exhibition.  Exhibitor further agrees to comply with the Exhibition Rules and with all applicable laws, ordinances, and regulations. All matters and questions not specifically covered by these rules and regulations are subject to the decision of INTA whose decisions will be final. The Exhibitor agrees to accept and abide by such decisions. The Exhibitor will be held responsible for any damage done by its employees or representatives to the Event venue. 

INTA reserves the right at any time to prohibit or remove any exhibit, display, device, or part thereof, or prohibit the exhibit, display, device or promotional material that in its opinion is not suitable to or in keeping with the mission of INTA. Furthermore, INTA reserves the right at any time to prohibit or remove any exhibit, display, device or promotional material if the activity of the Exhibitor regardless of location of activities is in INTA’s sole opinion not suitable to or in keeping with the mission of INTA. Exhibitor may not engage in any activity that will interfere with or in INTA’s opinion be reasonably objectionable to other exhibits or that may present INTA or the Event in a false or negative light, whether at the Exhibition Hall or elsewhere during the Event. The Exhibitor agrees not to use hotel or hospitality rooms to exhibit or for demonstrations or entertaining at hours that conflict with scheduled INTA meetings, INTA events and Exhibition hours.

Exhibit Booth Assignment

All exhibit space is assigned by Exhibit Management using a Priority Points System. Exhibitors do not select their booth space. INTA reserves the right to make the final determination of all space assignments in keeping with the best interests of the Exhibition.

INTA Priority Points System – Guidelines

Tier 1 Exhibitor: 15+ years’ exhibiting at the Annual Meeting
Tier 2 Exhibitor: 5‒14 years’ exhibiting at the Annual Meeting
Tier 3 Exhibitor: 0‒5 years’ exhibiting at the Annual Meeting

  • Exhibit Management calculates accumulated Priority Points for all previous years exhibited. Your organization is awarded one (1) Priority Point for every year your organization has exhibited at the Annual Meeting. Tier 1 Exhibitors will be assigned exhibit space first, based on their Priority Points.
  • Consideration will be given to applicants that are INTA members.
  • In the case of a tie, the date on which the application was received with full payment will dictate the order of the space assignment selection.
  • If your company elects not to participate in any given year or cancels, ALL Priority Points are forfeited.
  • Exhibitors that merge or acquire other Exhibitor space will assume the higher of the two (2) (or more) Priority Point totals. Priority Points will not be combined.
  • Priority Points will be deducted for infraction of rules and regulations (e.g., not completing set-up on time, dismantling earlier than closing time, etc.) by Exhibit Management.
  • Organizations should be aware that prime space typically is assigned to organizations that have a longer exhibit history.
  • INTA reserves the right to assign space to the Exhibitor and/or rearrange the floor plan, and/or relocate any exhibit at any time before or during the Exhibition.
  • INTA does not guarantee that an Exhibitor will not be placed next to a competitor.
