Policies


Cancellations and Refunds

To facilitate the refund process (for consideration), please submit your Refund Request Form to INTA Member Operations, stating in detail the reason for the refund request, and including any relevant attachments.

Full refunds for the registration fee paid will be issued only if a cancellation request is received on or before March 9, 2018

Full refunds for the registration fee, minus a cancellation fee of US $150, will be issued for cancellations requested between March 9, 2018 and May 4, 2018

No cancellation requests will be accepted and no refunds will be given starting May 5, 2018.

Substitutions

Your base registration for the Annual Meeting is transferable to another person affiliated with your member organization umbrella.

Networking Excursions

Networking Excursions are non-refundable but substitutions are allowed. There is no cut-off date for substitutions.

To facilitate the substitution process, please submit your Substitution Request Form to INTA Member Operations, stating in detail the reason for the substitution and the person attending in your place.

Payment

Payment for the Annual Meeting registration is by credit card or check (Bill Me) only. Should you require an invoice prior to payment, please select the Bill Me option when you register. You will then have to mail a copy of the invoice together with your check to the address on the invoice. 

Bill Me/Payment by Check

If you selected the Bill Me payment option, please note that INTA will not bill you and this is INTA’s check payment option. The invoice you receive after checkout is what you should use to submit payment by check. Payment by check will also delay your registration and you will not have access to the hotel reservation system until payment is processed.

Please note checks must be issued from a US Dollar denominated account and checks received in any other currency will be returned. 

Member vs. Non-Member Registration Rates

In order for you to be eligible for the appropriate member rate for the Annual Meeting, your organization must already be a member of INTA in good standing for 2018 at the time of registration.

Please note that if your organization chooses not to renew its membership and you proceed with your meeting registration, you will pay the non-member rate. The non-member rate will not be refunded if your organization renews for 2018 at a later time.

2019 Annual Meeting Pre-Sale

If you take advantage of the 2019 Annual Meeting promotion and you subsequently decide to cancel your registration for the 2018 Annual Meeting in Seattle, the registration for both meetings (2018 and 2019) will be canceled. You will receive a full refund for the 2019 Annual Meeting registration fee, and the 2018 registration fee will be subject to the existing cancellation policy and deadlines.

Registration Discount

Regular and SME members of INTA (excluding Nonprofit and University categories) will receive a complimentary registration for the 6th registrant, 11th registrant, and 16th registrant only. 

Regular and SME members who qualify for the bulk registration discount may not receive a full refund if a threshold registration is subsequently canceled (subject to INTA’s cancellation policies).If the organization no longer meets the criteria for a discount because of a cancelled registration, INTA will only refund the difference (subject to INTA’s cancellation policies).



Badges and Admittance

Badges must be worn at all times to gain admittance to all official INTA sessions and functions, including meeting and hospitality spaces at hotels in INTA’s hotel block.

Only persons registered for the 2018 INTA Annual Meeting will have access to events associated with the meeting, such as educational sessions, committee meetings, meals, receptions, networking excursions, the Hospitality Area, and the Exhibition Hall. Children, guests, and any other unregistered individuals will not be admitted without a paid ticket to any area of the meeting space. No exceptions will be made.

Committee-only registrations will not be available for the 2018 Annual Meeting.

Anyone found counterfeiting, copying, sharing, and/or using badges from past meetings may be subject to sanctions, up to and including removal from the meeting and revocation of INTA membership.


Badge Reprint Policy

Onsite, a US $100 fee will be charged for the first reprint of a lost or misplaced badge. A US $300 fee will be applied to a second reprint. Badges will not be reprinted a third time.

Registrant Directory

The daily schedule and Registrant Directory are available on INTA’s online Registrant Portal, as well as the free 2018 INTA Annual Meeting Mobile App.

All information contained in the INTA Annual Meeting Directory is entrusted to Annual Meeting registrants for their personal use only, and use of this information for any other purpose, is expressly prohibited. Please do not use registrants’ info to send mass marketing messages. Violation of this policy may subject the member to sanctions up to and including removal from the meeting and revocation of INTA membership.

Guest Tickets

INTA no longer issues guest badges. Instead, registrants may purchase guest tickets for select events at the Annual Meeting and will be issued a guest ticket for those events only. You may purchase guest tickets for the Saturday Night Concert, Saturday, May 19, 8:00 pm–11:00 pm and/or the Opening Ceremony and Welcome Reception, Sunday, May 20, 4:00 pm–7:30 pm, and/or the Grand Finale, Wednesday, May 23, 7:00 pm–11:00 pm.

Guest tickets will be provided to you upon check-in in the Registration area.

A guest ticket will give access only to the event(s) purchased. Tickets will be collected at the entrance to the purchased event. Tickets must be presented at the time of entry.

Guests and/or children will not have access to the Hospitality Area or the Exhibition Hall or to the continental breakfasts or food served in those areas or in the educational sessions. Guest tickets are nonrefundable and nontransferable.

In keeping with our current policy, a guest is a spouse, significant other, child, family member, or friend whose occupation is unrelated to the trademark industry. Associates within the trademark industry and coworkers are not eligible for a guest ticket.

Hotel

You must be registered, and all payments must be received, before you will be eligible to reserve your hotel room within the INTA block. Following payment, the Hotel Reservation page will be provided in your confirmation email. Please note that the conference rate is limited to one room per registrant and that the INTA rate is based on availability.

Onsite Registration

All registrants must pick up their badge and event tickets onsite at the Registration Desk in the Washington State Convention Center (WSCC) during Registration Desk hours.

After Friday, May 18, registrants must register for the Annual Meeting at the onsite Registration Desk in the WSCC.

Tuition Assistance

Tuition assistance for the INTA Annual Meeting is available to eligible attorneys who have a total individual income of less than US $35,000 a year or who are currently unemployed. Please note that proper documentation will be required. For more information, or to request an application, please contact cle@inta.org.

Waivers

INTA takes photographs and videos of this event for use in future INTA news and promotional materials in print, electronic, and other media, including the INTA website. Event participants grant INTA the right to use any image, photograph, voice, or likeness, without limitation, in its promotional materials and publicity efforts without compensation. All media become the property of INTA. Media may be displayed, distributed, or used by INTA for any purpose.

By registering for or attending this event, you agree to the collection, use, and disclosure of Personally Identifiable Information (PII). PII includes any information that identifies you personally (name, address, email address, phone number, etc.). INTA will use PII to (a) enable your event registration; (b) review, evaluate, and administer INTA initiatives; (c) market INTA opportunities that may be of interest to you; and (d) share your PII with third parties that perform services on behalf of INTA in connection with this event, including, but not limited to, database management, event housing, and transportation.

Termination of Services

In the past few years, INTA has seen an increase in the number of persons trying to register business colleagues as guests and engaging in other practices designed to avoid payment of the registration fee for the Annual Meeting. Please note that anyone found attempting to falsely register as a guest, or counterfeiting, copying, or sharing badges, may be subject to sanctions, up to and including removal from the Annual Meeting and revocation of INTA membership.

Code of Conduct

Registrants agree not to display or distribute any promotional items or to engage in any marketing or advertising during the event outside of an approved booth in the Exhibition Hall. Registrants further agree to conduct themselves in a manner that is courteous and respectful of INTA and its staff and of registrants at the event from other cultures and parts of the world. Any registrant who, in the sole opinion of INTA, engages in conduct that is unethical, offensive, or not in keeping with or appropriate for the event may be dismissed from the Annual Meeting without refund.


Marketing Your Events via Email

INTA understands that many affiliate events take place during the week of the meeting and we wish you success with your event. Before booking your event though, we request that you fill out an approve form on the Plan Your Own Event portal. Also, when you are promoting your event in email that you refrain from using "INTA" or "International Trademark Association" in a way that suggests that INTA is an official sponsor of your event. For example, we ask that you: 
  • Not use INTA or International Trademark Association in an email subject line unless the subject line also makes clear the name of the firm sponsoring the event.
  • Not use INTA as part of an RSVP or other email address.
  • Not use INTA in the name of a party or event (for example, please do not call your event "INTA Reception").
