Plan Your Own Event

INTA would like to know about all events taking place in Seattle, Washington during our Annual Meeting so that your events do not conflict with our planned events. If you plan to host a reception, client party, secure a hospitality suite for meetings, etc., we ask that you inform us in advance.

Please fill out the Plan Your Own Event form and INTA will follow up with you if there is a conflict.

Exhibition Hall Installation / Move-In Dates

(All booths must be show ready by 5:00 p.m. on Saturday, May 19)


Exhibition Hall Dismantling / Move-Out Dates

Wednesday, May 23 2:00 p.m. - 6:00 p.m.
Thursday, May 24 8:00 a.m. - 12:00 p.m.

(Exhibitors cannot begin to dismantle before 2:00 p.m. on Wednesday, May 23)


Exhibit Booth Assignment

All exhibit space is assigned by Exhibit Management using a Priority Points System. Exhibitors do not select their booth space. INTA reserves the right to make the final determination of all space assignments in keeping with the best interests of the Exhibition.

Exhibitor Booth Package

Platforms and carpets are the only authorized floorings for your booth.

The Exhibit Booth Package does NOT include hard walls, booth carpet, furniture, tables, chairs, electricity, floral arrangements, telephone, Internet, plumbing, or specialty lighting. These items are available for rent through Freeman Decorating Company.

Items included in your booth package (per 10’ x 10’):

8’ high gray and white back drape
3’ gray white side divider
Booths 300 sqft or less will receive a one-line 7” x 44” identification sign. Booths larger than 300 sqft may receive a one-line identification sign upon request.

Exhibit Hall Carpet

The Exhibition Hall is not carpeted; however, all booths are required to have carpet or Show Management approved flooring.

There will be 4 Zones in the Exhibition Hall which will be carpeted in a different color per Zone. Booth spaces are not carpeted.

The aisles in the 4 Zones will be carpeted per the following:
Zone 1 – Red
Zone 2 – Blue
Zone 3 – Green
Zone 4 - Purple

2018 Exhibition Pricing will be posted shortly. 

Exhibitor Agreement & Rules and Regulations 

Exhibitor shall at all times during the Event observe and comply with INTA’s Exhibition Rules and Regulations (the “Exhibition Rules”), as may be updated from time to time. INTA shall have sole authority to interpret and enforce the Exhibition Rules and to make any amendments thereto as shall be necessary, in the sole judgment of INTA, for the orderly conduct of the Exhibition.  Exhibitor further agrees to comply with the Exhibition Rules and with all applicable laws, ordinances, and regulations. All matters and questions not specifically covered by these rules and regulations are subject to the decision of INTA whose decisions will be final. The Exhibitor agrees to accept and abide by such decisions. The Exhibitor will be held responsible for any damage done by its employees or representatives to the Event venue. INTA reserves the right at any time to prohibit or remove any exhibit, display, device, or part thereof, or prohibit the exhibit, display, device or promotional material that in its opinion is not suitable to or in keeping with the mission of INTA. Furthermore, INTA reserves the right at any time to prohibit or remove any exhibit, display, device or promotional material if the activity of the Exhibitor regardless of location of activities is in INTA’s sole opinion not suitable to or in keeping with the mission of INTA. Exhibitor may not engage in any activity that will interfere with or in INTA’s opinion be reasonably objectionable to other exhibits or that may present INTA or the Event in a false or negative light, whether at the Exhibition Hall or elsewhere during the Event. The Exhibitor agrees not to use hotel or hospitality rooms to exhibit or for demonstrations or entertaining at hours that conflict with scheduled INTA meetings, INTA events and Exhibition hours.

Freeman will accept crated, boxed or skidded materials beginning APRIL 18, 2018 at the above address. Materials arriving after MAY 10, 2018 will be received at the warehouse with an additional after deadline charge. Warehouse freight will be delivered prior to exhibitor set up. If warehouse freight has to be moved in on a weekend in order to be in the exhibitors booth for move-in day, an overtime charge may apply.

Freeman will receive shipments at the exhibit facility beginning MAY 18, 2018. Shipments arriving before this date will be refused by the facility. Any charges incurred for freight accepted by the facility will be the responsibility of the exhibitor.

Please note: All items and materials that must be brought into the facility will be subject to Material Handling Charges and are the responsibility of the Exhibitor. This also applies to items not ordered through the Official Show Vendors.

INTA Priority Points System – Guidelines

Tier 1 Exhibitor: 15+ years’ exhibiting at the Annual Meeting
Tier 2 Exhibitor: 5‒14 years’ exhibiting at the Annual Meeting
Tier 3 Exhibitor: 0‒5 years’ exhibiting at the Annual Meeting

Exhibit Management calculates accumulated Priority Points for all previous years exhibited. Your organization is awarded one (1) Priority Point for every year your organization has exhibited at the Annual Meeting. Tier 1 Exhibitors will be assigned exhibit space first, based on their Priority Points.

Consideration will be given to applicants that are INTA members.

In the case of a tie, the date on which the application was received with full payment will dictate the order of the space assignment selection. If your company elects not to participate in any given year or cancels, ALL Priority Points are forfeited. Exhibitors that merge or acquire other Exhibitor space will assume the higher of the two (2) (or more) Priority Point totals. Priority Points will not be combined.

Priority Points will be deducted for infraction of rules and regulations (e.g., not completing set-up on time, dismantling earlier than closing time, etc.) by Exhibit Management. Organizations should be aware that prime space typically is assigned to organizations that have a longer exhibit history. INTA reserves the right to assign space to the Exhibitor and/or rearrange the floor plan, and/or relocate any exhibit at any time before or during the Exhibition. INTA does not guarantee that an Exhibitor will not be placed next to a competitor.
