IP Management Software Super User/Administrator

Position Description

• General management of IP management database (Patricia)
• Quality control & problem solving
• Supporting and assisting users
• Building new workflows and diary matrices
• Ensuring records have correct data
• Training new and existing staff members
• Training clients on PCP
• Attending to Country & Law updates
• Creating new name records and cases
• Creating reports
• Creating new users
• Creating new teams
• Creating security groups
• Creating application / case / name types
• Creating documents and templates
• Purchasing new licenses

General assistance with IP portfolio handovers

• Data review, audit and repair in takeover matters
• Population of templates for data uploads
• Overseeing and settling data imports on the system

• Becoming involved in all aspects of the practice to offer pro-active support and assistance
• Providing effective verbal and written communication in addressing users’ requests and expectations
• Prioritizing tasks when under pressure
• Managing all aspects of the practice
• Effective office management and organization
• Establishing a good and friendly relationship with, and instilling confidence in, clients

• Strong administrative skills
• Patricia super-user
• Team player, professional, flexible, reliable and friendly
• Possess highly developed interpersonal and communications skills, and a good telephone manner
• Excellent computer / typing skills
• Sense of confidentiality, urgency and the ability to work under pressure
• To be proactive in offering assistance and follow ups
• Prioritizing tasks and making time to give priority to prioritized tasks when under pressure
• A high standard of efficiency in handling tasks, dealing with people and creating a general professional atmosphere
• Strong attention to detail / accuracy and good turn-around time for tasks
• Demonstrates resilience

Qualifications

• Higher (Matric) Certificate
• Candidate should preferably have at least 2 – 3 years’ experience in an IP department as an IP Management Software Administrator/Super-user (preferably Patricia, but not limited to)
• Any SQL experience, qualification or skills will be an advantage
