Badging Requirement

• All hosts, guests, and staff must be registered for the 2027 INTA Annual Meeting and display an official meeting badge to access Business Suites and roundtables.
• INTA recommends at least three (3) registrations per hosting organization.

Hosts are responsible for ensuring compliance.

Exclusivity Rule

To preserve the distinct role of INTA’s official educational program, Business Suites must remain clearly differentiated from formal educational offerings.

As a result, Business Suites may not include structured educational, legal, policy, or professional content that overlaps with or competes with INTA’s programming.

This includes, for example:

• Panels, workshops, seminars, or presentations
• CLE/CPD or professional training-style sessions
• Structured discussions with defined learning objectives
• Activities described using terms such as panel, dialogue, roundtable, forum, workshop, seminar, briefing, masterclass, or training

In general, Business Suites should focus on networking, relationship-building, and informal exchange rather than organized educational content. INTA will assess proposed activities to ensure they remain consistent with this distinction.

Event Scheduling Restrictions

Business Suites cannot host any meetings or activity:

• During Opening Ceremonies (Sunday, May 9, from 4:30 pm to 6:30 pm)
• During the Welcome Reception (Sunday, May 9, from 6:30 pm to 8:00 pm)

Impact of Non-Compliance

INTA works with Business Suite hosts to support alignment with these guidelines. Where issues arise, INTA may take appropriate steps to address non-compliance, including:

• Removal from INTA platforms and communications
• Requests for event modification or, where necessary, cancellation
• Consideration of compliance history in future participation
• In more serious or repeated cases, restrictions related to committee service or leadership roles

These measures are intended to ensure fairness, transparency, and consistent experience across the INTA community.

Reservations and Cancellations for Business Suites at the San Diego Convention Center

• Business Suites are assigned based on availability upon submission of the form.
• Each Corporate Member may reserve one (1) Business Suite for a few hours, a full day, or multiple days, subject to availability.
• Cancellations must be submitted in writing to Tina Vickery ([email protected]) and Sophie van de Vorst ([email protected]).
• For INTA Corporate Members, the deadline for cancellation is January 29, 2027. For cancellations received after January 29, 2027, a $250 cancellation fee will be assessed.
• For any INTA non-Corporate Members or non-members, a cancellation fee will be assessed starting on January 30, 2027, as follows:

For hotel-based Business Suites within the INTA hotel block, the same general Business Suite terms and conditions apply unless otherwise noted for a specific hotel venue. Hotel-specific requirements, charges, food and beverage minimums, cancellation terms, and related fees may vary by hotel and will be confirmed once final agreements are in place.

Use of Time and Turnover

• Reserved meeting times are strictly enforced. Extensions are not permitted due to shared room usage.
• Organizations anticipating longer or consecutive meetings are encouraged to book the full day.

Use of INTA Name and Brand
Business Suite hosts may not:

• Suggest or imply INTA sponsorship, endorsement, or involvement
• Use “INTA” or “International Trademark Association” in the name of the event
• Use “INTA” in email subject lines, RSVP links, or event addresses
• Use the INTA logo in any marketing or promotional materials
• Any unauthorized use of INTA intellectual property may result in enforcement action.

Signage, Displays, and Give-Aways

• One pop-up banner may be displayed outside the Business Suite during your scheduled time and must be removed immediately afterward.
• Marketing materials and giveaways may be distributed inside the Business Suite only and must be cleared by the host at the end of the meeting.
• Roundtables may display a small tabletop sign; banners are not permitted.
• Hosts are responsible for clearing all materials from the Business Suite at the end of their scheduled time.

Audio‑Visual, Internet, and Catering

• Business Suites at the San Diego Convention Center include:
  • Corporate Members: complimentary screen, projector, and basic Wi-Fi
  • Non-Corporate Members: complimentary basic Wi-Fi
• Additional audiovisual services, hardwired internet, and catering may be ordered at extra cost.
• Outside food and beverage requires prior approval from the Convention Center and may incur additional fees.
• All services are coordinated after confirmation of your Business Suite. 

General Information

INTA has secured meeting space at the Omni San Diego Hotel at the Ballpark for use as Business Suites during the 2027 Annual Meeting. These rooms are available to organizations that book through INTA’s Business Suites program.

To request a Business Suite, complete the Business Suites form and select the Omni San Diego Hotel as your preferred venue. Once your request is confirmed and your meeting space has been officially booked through INTA, your organization will work directly with the hotel to coordinate any additional needs, including audiovisual services, room setup, and catering. All charges related to these extra services including cancellation terms will be managed directly with the Omni San Diego Hotel under its policies.

The same terms and conditions that apply to Business Suites at the San Diego Convention Center also apply to hotel-based Business Suites, unless otherwise noted for a specific hotel venue. See the hotel’s cancellation policy below.

Booking and Cancellation
After your space is confirmed, your organization will have ten (10) days to pay the invoice and secure the reservation. You may cancel at any time; however, cancellations made after December 1, 2026, will receive a 50% refund of the space fee. No refunds will be issued for cancellations made after January 1, 2027. Cancellations must be submitted in writing to Tina Vickery ([email protected]) and Sophie van de Vorst ([email protected]).
