Don’t miss the opportunity to schedule your events and meetings during the 2026 Annual Meeting.
Affiliates should contact us using the form below before scheduling events or meetings to avoid conflicts with INTA events. Reporting your events is also important because it helps measure INTA’s economic impact on our host city, increasing our negotiating power for future destinations and passing savings on to our members.
New in 2026! This form also allows you to book a Business Suite (previously known as Corporate Meeting Rooms and Reserved Hospitality Rooms) within the Convention Center and nearby hotels. These Business Suites are ideal for hosting your events and meetings. Secure your perfect venue and capitalize on this prime location.
To get started, please fill out the Affiliate Events and Business Suites Form (previously known as INTA’s Plan Your Own Event form). Once the request is approved, you may begin working directly with your preferred venue outside of the Convention Center or book your Business Suite within the Convention Center.
Separate forms must be submitted for each day you are planning an event/meeting. For questions regarding the Affiliate Events, please contact Sophie Van de Vorst.
An INTA representative will respond within five (5) business days of receipt to approve or decline your Affiliate Event request. For Business Suites, meeting space requirements will be collected and Business Suite assignments will begin starting on December 2025.
Submission of a form does not guarantee approval of your event or allocation of Business Suites.
All applicants must comply with INTA’s terms and conditions, including our badging policy.
In reviewing requests and in any subsequent approval of requests, INTA does not assume any responsibility or liability for the event. Your organization will be fully liable and responsible for all matters concerning your event/meeting, including but not limited to making all payments, having adequate insurance coverage, ensuring appropriate behavior from guests, and meeting contractual obligations. Advance pricing is available when you fill out an Affiliate Events form to request a Business Suite through June 30, 2025. Standard pricing will be announced later this year.

AFFILIATE EVENT POLICIES
IMPORTANT REQUIREMENTS BEFORE CONTRACTING WITH YOUR VENUE
- All affiliates must complete INTA’s Affiliate Events Form for each day you are planning an event or meeting the Annual Meeting.
- Ensure that INTA confirms that your event does not conflict with INTA’s events before contracting with your venue.
- INTA will review submissions within five business days.
IMPORTANT REQUIREMENTS ONCE YOU SECURE YOUR VENUE
- Ensure that your guests are registered for the Annual Meeting.
- Ensure that you and your guests are aware of and will comply with your venue’s health and safety measures.
- When promoting your event/meeting, you should not suggest that INTA is an official sponsor of your event or involved in any way. For example:
- Do not use “INTA” or “International Trademark Association” in an email subject line unless the subject line also makes clear the name of the organization sponsoring the event.
- Do not use “INTA” as part of an RSVP or other email address.
- Do not use “INTA” in the name of a party or event (for example, please do not call your event “INTA Reception”).
- The use of “INTA” in any invented word, phrase, or combination is strictly prohibited without prior written consent from the authorized representatives. This includes but is not limited to, any products, services, marketing materials, or promotional content. Unauthorized use of the name “INTA” in such a manner may result in legal action.
- The use of the INTA logo in any marketing promotion is prohibited unless you have written permission from INTA.
IMPORTANT REQUIREMENTS DURING YOUR EVENT
- Ensure that all attendees and guests are registered and wear their Annual Meeting badges.
- Adhere to venue capacity limits and health and safety measures.
- Comply with local laws.

- All events/meetings hosted by you and/or your organization are your sole responsibility before, during, and after.
- INTA is not responsible for any affiliate events hosted in conjunction with the 2026 Annual Meeting.
- INTA disclaims any liability for the actions, omissions, or conduct of any affiliates, or their representatives.
- By hosting an event, affiliates acknowledge that they release INTA from any and all claims, demands, or liabilities arising out of or related to such affiliate events.
- This disclaimer is intended to promote a clear understanding of the relationship between INTA and affiliates and to safeguard all parties involved.
OUR COMMITMENT TO YOU
- We’ll contact you within five business days of receiving your completed Affiliate Event Form.
- After INTA confirms that your event does not conflict with an INTA event, you may proceed with your venue.
- Note that confirmation does not guarantee your first-choice venue.
BUSINESS SUITE POLICIES
Business Suites at Excel London (Convention Center) will be available for corporate members and other registrants attending the 2026 Annual Meeting. INTA Corporate Members in good standing can use the suites at no additional charge, while non-Corporate Members can access them at an additional cost. Tina Vickery, our event management consultant, will coordinate all services, including food and beverage, audiovisual needs, and other logistics. She will also assist in planning by setting up calls and addressing any required details.
The suites will be available at the following times:
- Saturday, May 2, 8:00 am–7:00 pm
- Sunday, May 3, 8:00 am–4:30 pm
- Monday, May 4, 8:00 am–5:00 pm
- Tuesday, May 5, 8:00 am–5:00 pm
- Wednesday, May 5, 8:00 am–2:00 pm
Pricing for non-corporate members will vary depending on their needs; invoices will be provided upon booking confirmation.
BUSINESS SUITE TERMS AND CONDITIONS
Terms & Conditions
- All event guests and staff must register for the 2026 INTA Annual Meeting and wear their own meeting badge to access event spaces.
- At least three (3) members from your organization must register for the 2026 Annual Meeting to reserve a Business Suite at the Convention Center.
- For larger room requests (more than 105 people), please complete the Affiliate Events form and booking confirmation will be subject to availability.
- You may bring a pop-up banner to display immediately outside your Business Suite for your meeting. You must remove the pop-up banner after your meeting.
- Business Suites inside the Convention Center for INTA Corporate Members come with a complimentary screen, projector, and basic Wi-Fi. Additional audio-visual equipment, hardwired Internet, and/or catering can be ordered through Tina Vickery, our event management consultant ([email protected])and will come at an extra cost.
- Business Suites inside the Convention Center for INTA non-Corporate Members come with complimentary basic Wi-Fi. An extra cost will be charged for audio-visual equipment, hardwired Internet, and/or catering can be ordered through Tina Vickery.
- When you submit this form, we will hold and book a room for you. Therefore, if your room reservation needs to be cancelled, you must notify Tina Vickery ([email protected]) in writing as soon as possible so your space can be released to others on INTA’s waitlist.
- For INTA Corporate Members, the deadline for cancellation is January 30, 2026. For cancellations received after January 30, 2026, a $250 cancellation fee will be assessed.
- For any INTA non-Corporate Member or non-members, a cancellation fee will be assessed starting on January 30, 2026 as follows:.
